Xaac HR Terms of Service

Welcome to Xaac HR, a Software-as-a-Service (SaaS) platform provided by Xaac, LLC (“Xaac,” “we,” “us,” or “our”). By accessing or using Xaac HR (the “Service”), you agree to be bound by these Terms of Service (“Terms”). Please read them carefully.
1. Acceptance of Terms
By accessing or using the Service, you affirm that you are of legal age and have the authority to enter into this agreement on behalf of your organization (“User,” “you,” or “your”). If you do not agree to these Terms, do not use the Service.
2. Description of the Service
Xaac HR provides tools for HR teams, including the ability to upload, store, and query company policy documents through an AI-powered interface. Core features of the Service include:
- Document storage in Amazon S3 managed by LlamaIndex.
- Indexing and querying of documents through a database managed by LlamaIndex.
- Authentication and authorization via Supabase.
- AI-powered assistance and insights using ChatGPT.
3. User Responsibilities
3.1 Account Registration
You must create an account through our platform. You are responsible for maintaining the confidentiality of your login credentials and for all activities conducted under your account.
3.2 Compliance with Laws
You agree to use the Service in compliance with all applicable laws, regulations, and industry standards.
3.3 Uploaded Content
You represent and warrant that:
- You have the right to upload any policy documents or other materials (“Content”) to the Service.
- Your Content does not infringe on the intellectual property rights of any third party.
You retain ownership of your Content. By uploading Content, you grant Xaac a non-exclusive, royalty-free license to store, process, and index your Content solely for providing the Service.
4. Data Handling and Privacy
4.1 Data Storage and Processing
Content uploaded to the Service is securely stored and indexed in databases managed by LlamaIndex. We use artificial intelligence technology to process and respond to user queries about the content.
4.2 Data Security
Xaac employs reasonable measures to protect your data, but we cannot guarantee absolute security. By using the Service, you acknowledge and accept the inherent risks of transmitting data over the internet.
4.3 Privacy Policy
Our collection, use, and storage of personal data are governed by our Privacy Policy, which is incorporated into these Terms by reference.
5. Fees and Payment
5.1 Subscription Fees
The Service may be offered on a subscription basis. Details of fees and billing cycles will be provided during registration or within your account settings.
5.2 Payment Obligations
You are responsible for all fees associated with your use of the Service. Failure to pay may result in suspension or termination of your account.

7. Termination
We reserve the right to suspend or terminate your account and access to the Service at our sole discretion, without notice, for violation of these Terms or other reasons.
8. Intellectual Property
Xaac retains all rights, title, and interest in the Service, including software, interfaces, and underlying technologies. You are granted a limited, non-exclusive license to use the Service as outlined in these Terms.
9. Limitation of Liability
To the maximum extent permitted by law, Xaac shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service.
10. Governing Law
These Terms are governed by the laws of the State of Arizona, without regard to its conflict of law principles.
11. Changes to the Terms
We may update these Terms from time to time. Changes will be effective upon posting to our website. Continued use of the Service constitutes your acceptance of the revised Terms.
